To help maintain consistency across the organisation, templates for standard business stationery has been created.

There are templates being made available for business cards, letters, envelopes, invitations and ID cards. Only use the templates provided here, and please note that over time the templates may evolve and improve. It is therefore important that you ensure you are working from the latest version. The templates provided here will always be up to date.

Business Cards

Please refer to your regular channels for the ordering of new business cards. Either through your local HR department, or through the Wilservice Service Centre at the head office at Lysaker, Norway.

The easiest way to produce business cards is described in the right hand column of this page. 

The Wilhelmsen business card InDesign templates (for proffesional use only) are set in the 85x55mm format, which is the UK standard. We use this format in all offices around the world. In order to enhance readability, our business cards feature the logo and pulse on one side, whereby making good space for contact information on the other.

Business cards must be printed on uncoated or matte pure white paper with a weight of at least 300 gsm. Never use glossy paper. Do not use paper with natural, ivory, cream, or any other shade of white.

Other languages than English are to be printed as separate cards. The typeface used, Tiempos Text does not support languages not covered by the extended latin script, like Chinese, Russian, Arabic, etc. Aktiv Grotesk has far greater language support and must be used in these situations. Back Side

The logo side of the cards are available in white and all of the colours of our primary palette for individual choice. The Wilhelmsen Blue colour is there by default. To choose another colour, simply replace the page master – you will find all versions in the InDesign pages window.Back side

Front Side

The front side should contain the person’s name, title and business contact information as shown here. Paragraph and character styles have been defined for all text. Simply replace the dummy text with the correct information.

For long names and/or titles some adjustments will have to be made: For long names use initials whenever possible. If this is not an option, the web address can be removed. For long titles use abbreviations. Optionally, the title can take up two lines. If you have more than three phone numbers, two numbers can be put on the same row, separated by a forward slash and a space on both sides. For very long addresses, an extra line of text can be added. If there is no difference between visit and postal address, it should only be written once, and VISIT and POST should be replaced with ADR.

Letters

Microsoft Word templates in both A4 and US Letter formats are available. There are separate versions for the group, Ships Service and Ship Management. You can also choose between versions for either long or short addresses depending on your needs.

Envelopes

InDesign reference files for C4 and C5 envelopes are available. These are not production ready as they will have to be adapted to specific envelope types and formats which vary between offices. Logo and text sizes, colours and placements are however exactly as they should be. Copy the relevant elements to the templates provided by your local printer before inputing the correct legal entity name and postal address. The web address must be left untouched.

As all the graphics are placed on the back of the envelopes, they work for envelopes both with and without windows. Logo, subsidiary descriptor and return address field must always be placed on the flap. Whenever possible envelopes should be printed on uncoated pure white paper.

Envelopes with the pulse graphics can also be produced. These are optional, but we encourage you to save the use for special occasions. Make sure the pulse graphics are printed on the back side, under the flap, as illustrated in the InDesign files.Envelopes

General guidelines
The margins should be around 11mm on all sides. To aid with placement, divide the surface into four columns. The first column is reserved for the logo and the second for subsidiary names. The third column should be left blank and the forth column is for the return address and web address. If you have a long return address that does not fit within the one column, you may expand the text box so that it starts in the middle of the third column in the same fashion as our letterhead. Examples of this are included in the InDesign files.

Invitations

Invitations are available as A6 (105x148 mm) InDesign templates in both 2 and 4 page versions. An InDesign reference file for the corresponding C6 envelope with pulse graphics is included as well. As with the C4 and C5 reference file, these are not production ready as they will have to be adapted to specific envelope types.

ID Cards

Due to security reasons, employee identity cards are in use at the head office at Lysaker, Norway. When considered necessary, the same card is intended for global use in the group. Not all offices will have a need for this card. It is therefore up to the local office to decide whether they need identity cards or not considering location, office facilities, number of employees, and complexity of the organisation.

If it is decided to implement the card, the guidelines presented here must be followed. These guidelines describe the global branding standard on identity cards for all Wilhelmsen companies.

The layout and content on the employee and contractor cards will be the same, but the colours will differ. Our own employees will get white cards, whereas substitue cards will be dark blue, and persons on temporary contracts and consultants will get light blue cards with photos, while visitors will get a light blue card without photos. 

ID Cards

Implementation of identity cards and any add-on technical systems like access functions to facilities or systems should be assessed and decided locally. If additional functions like electronic access control systems (magnetic track, chip, RFID, bar code, etc) or any other technical systems are needed due to local or organisational solutions, this may be added in a practical way if not in conflict with the visual group design.

The standard identity cards should include the following information:

Front side:
- The Wilhelmsen logo
- Colour picture of employee/contractor/consultant
- Full name
- Company name
- Location (city and country)
- Reference to either Employee or Contractor
- Expiry date (five years from date of production)

Back side:
- The back side of the card should be left blank if not local technical functions are needed.

Employee Identity Cards

Employees in the group will get white identity cards with “Employee” written in italics below the location on the front side. The employee card should measure 53,98 mm x 85,6 mm.

Contractor/Consultant Identity Cards

Consultants or persons working on short term contracts will get light blue identity cards with either “Contractor” or “Consultant” written in italics below the location on the front side.

It is mandatory to use either Contractor or Consultant to describe the conditions of employment. It can be decided locally which one of these two to use, depending on the nature of the relationship. No other description must be used and the use must be consistent. The contractor card should also measure 53,98 mm x 85,6 mm.

Substitute Identity Cards

Employees in the group who have temporary misplaced their cards may have issued dark blue identity cards with “SUBSTITUTE CARD” written in uppercase letters above the location on the front side. The substitute card should measure 53,98 mm x 85,6 mm.


Visitors Cards

Visitors to locations should have issued light blue cards with “VISITORS CARD” written in uppercase letters above the location on the front side. The visitors card should measure 53,98 mm x 85,6 mm.
